Executive Committee and Council Members

The overall management of HCYA is the job of the Council which usually meets on the first Thursday of every month (currently via Zoom!). The Council is made up of the members below who meet once per month on a Thursday at 8pm for about one and half hours.

The Honorary Officers, along with the Trustees, make up the Executive Committee and their job is to ensure that HCYA carries out it’s activities for the benefit of its members under Charity Law and the HCYA constitution. The Honorary posts are voted on at the Annual General Meeting.

All Executive and Council members need to be members of HCYA through joining one of the Sections.

Graham Blincow

Graham oversees much of the fund raising operations for HCYA activities. They are the primary spokesperson for HCYA.

Sam Saunders

Sam ensures that the Executive and Council Committees work properly including setting the Agenda and ensuring effective decisions are made and carried out. The Chair provides leadership for all committee members and brings the whole of HCYA together.

Tracy deputises for the Chair as appropriate including chairing meetings if necessary, acting as a support for the Chair.

Hall Manager

Alan Bone

Alan is responsible for the smooth running of the hall to ensure the hall is a safe place for everyone who uses it. This includes being responsible for the Health, Safety and Fire regulations of the hall (and Covid 19 requirements), looking after the security of the building, minor maintenance and repairs and ensuring the Hall’s cleanliness. They are also responsible for preparing the hall for private hire bookings which includes ensuring a well stocked bar.

Honorary Secretary

Gillian Riley

Gill is responsible for organising the meetings of Council, the Executive and the Annual General Meeting and any special meetings as necessary. In consultation with the Chairman and minutes secretary the Secretary issues the agendas, records and drafts the minutes of those meetings. The minutes are then agreed with the Chair prior to circulation and distribution.

Honorary Treasurer and Trustee

Andrew Coomer

Andrew has the watchdog role over all aspects of financial management of HCYA and works closely with other members of the committee to safeguard the finances. With responsibility for financial oversight, financial planning, budgeting and reporting, record keeping and banking the Treasurer also outlines the current financial status and clarifies any financial implication of any proposals put to HCYA. Provides the submission of the Annual return to the Charity Commission.

Membership Secretary

Patrick Riley

Patrick keeps details of all past and present HCYA members including the sections, if any, which they attend, in accordance with GDPR security requirements. Yearly membership renewals are issued and the Membership Secretary receives membership payments, manages Gift Aid documentation and any Direct Debits.Throughout the year the Membership Secretary registers new members and ensures that all members pay their subscription.

Deputy Membership Secretary and Hallam Community Fete Organiser

Sophie Kelly

Sophie supports the membership Secretary to keep details of all past and present HCYA members including the sections, if any, which they attend, in accordance with GDPR security requirements. Nicola Brown

Nicola works with the Secretary to ensure the recording of the minutes of the Council meeting, Executive Committee, the Annual General Meeting and any special meetings and distributing as appropriate. This role is in conjunction with the Secretary above.

Trustee

Peter Curtis

The Trustees ensure that HCYA carries out it’s activities for the benefit of its members under Charity Law and the HCYA constitution. They are responsible for making sure that HCYA operates in a financially secure way, always acting in the best interests of HCYA and promoting the benefits of HCYA at every opportunity.

Under charity law and HCYA constitution we have a minimum of three Trustees. New Trustees are appointed by the existing trustees from time to time and as the need dictates.

Harry Sadler

Harry provides a link between the Community Hall and the local Church and highlights services and activities of interest to the membership of HCYA.

Publicity Officer and Hallam Citizen

Tracy Kent

Tracy is responsible for producing the annual Hallam Citizen magazine which is distributed across the Hallam district to advertise the Hall and the activities within it. They regularly review publicity options to promote the Hall. The Officer also maintains the Friends of HCYA mail list to publicise relevant info from HCYA.

Hall Bookings and Website

The Bookings Secretary is responsible for enquiries (through email, web and telephone) regarding the Hall rental and effectively manages the hall bookings diary by agreeing hire dates and making sure all paperwork is signed. Ensures that the Hall’s website is kept up to date via the Hall’s web master.

Each Section rep attends Council to feedback any issues or concerns their members have. They also report back to their sections on decisions and matters raised.
